ANNUAL GENERAL MEETING

The PTA will hold their Annual General Meeting on Tuesday 6 March 2018 in the school staff room at 7pm. As the PTA is a registered charity, we follow a constitution, a copy of which is attached. Please note that this is an unsigned copy.

At the meeting a minor change to Section 6 of the constitution is proposed with the insertion of the words "or as soon is practical thereafter" after the clause "will be held in the month of February" as follows:

6. Annual General Meeting

The Annual General Meeting will be held during the month of February or as soon is practical thereafter and the agenda shall include the following:

· Minutes of the previous AGM

· Annual report of the Chairperson/s

· Annual Financial Statements for the Year

· Election of Officers

· Appointment of Independent Chartered Accountant

· General Business

The committee feels that with the start of the school year at the beginning of February and the requirement of 21 day's notice for changes to the constitution plus the need to get the accounts in order for the AGM that the wording of Section 6 may be too restrictive.

YOUR GROUP'S FUNDRAISING

Last year the Board ruled that all fundraising at Halswell School is to be managed by the PTA. This includes all fundraising for school trips, sports teams or other school groups who may require funding of some type during the year. The school will be presenting a "wish list" of items needed for this year to the Board shortly, and the PTA aims to balance this list with the needs of other groups in the school.

The PTA AGM is fairly brief and we aim to conduct a short meeting afterwards to discuss a fundraising plan. If you believe your group will need to fundraise at some point this year, please send a representative to the meeting on the 6 March. The PTA is able to support all aspects of the fundraising as a registered charity, however in most cases we will be expecting students and their parents to drive fundraising for their particular groups.
