Hospitality Terms and conditions

General Terms and Conditions:

  • The Hororata Highland Games is promoted and run by the Hororata Community Trust (together with its officers, agents, and contractors called the Trust).
  • Estimated guest numbers for booking are required at time of booking. Final numbers to be confirmed by the 23rd October (if no confirmation is provided by the company by this date the estimated numbers will be treated as final numbers).
  • A 10% deposit is required at time of booking to secure your space. The balance of the charge for the corporate hospitality package will be invoiced upon confirmation of final numbers and will be due for payment by the 1st November. Payment can be made via credit card or direct. Credit card payment incur a 2.9% fee.
  • A credit card number must be supplied in order for a tab to be run in the bar on the day. This can be invoiced after the event, but must be paid within five working days (and if not paid by that date will be charged to the credit card number supplied). Alternatively, corporate guests are invited to bring cash for the bar.
  • This hospitality package is not assignable or transferable.
  • The Hororata Highland Games is a licenced venue – the hospitality area is not BYO and no alcohol, dangerous or illegal substances may be brought to event. All guests must behave lawfully and appropriately at all times, and the Trust reserves the right to refuse any guest admission or to require any guest to leave the hospitality area and no refunds will be given in this event.
  • Companies may place signage around their site to identify it to their guests but there is to be no promotion or sales of products from the site during the event. The Trust reserves the right to remove any signage which may conflict with an event sponsor or is deemed inappropriate.

Tartan Club Conditions:

  • Tartan Club Guests will be provided with wristbands that identify them. Admission to the Tartan Club will be refused to any corporate guests without wristbands or with lost, damaged, or modified wristbands.
  • No food or drinks are to be taken out of the Tartan Club area.
  • Tartan Club is open from 9am to 4.30pm. Bar opens 10.30am.

Cancellation policy:

  • Cancellations made 30 days prior to event forfeit 100% of the deposit payable by the company.
  • Cancellations made 10 days prior to event forfeit 100% of total amount payable by the company.
  • The Trust reserves the right to postpone, cancel, or terminate the Hororata Highland Games and this corporate hospitality agreement at any time. If this agreement is terminated by the Trust, then all amounts paid by the company at the time of termination will be refunded.
