At Mahurangi College, we encourage participation at all levels and support the enjoyment that comes from playing sport at any level.

GAME TIME

We recognise that for our students, sport is about more than just performance it’s also about growth, teamwork, and having fun.

Our team and player selection policy is outlined below:

GENERAL SELECTION PROCESS

All students will participate in trials as needed and be placed on a team based on merit, as determined by the selectors and the Teacher in Charge (TIC) of the sport.

Students selected into our sports teams will be required to meet attendance (>90%) and behavior expectations to participate in key school events, such as Sports Exchanges, Winter Tournament Week, AIM'S and Sport Zone Days.

Premier Teams

For students selected in Senior Premier teams (e.g. Premier 1 Netball, 1st XI Hockey), it is important to understand that some players may have pivotal roles, resulting in more time on the field, turf, pool, or court.

The coach has the discretion to select the best team for each game to achieve the desired outcome.

Seasonal Teams (Years 9–13)

Coaches are expected to ensure that all players receive at least half a game per match in accordance with College Sport guidelines.

Seasonal Teams (Years 7–8)

Players are to receive a minimum of half a game per week, with equal playing time prioritised for all teams. No player should receive more time than their peers on the field, turf, or court at this level, in accordance with Harbour Sport guidelines.

FACILITIES USE

The Sports Department manages facility bookings through a dedicated system. If you need to use any school facilities for training or games, please submit a booking request in advance. Senior teams are given priority access to gymnasiums. The Sports Department also handles bookings for the turfs and council fields.

GYMNASIUM FACILITIES

Both gyms are equipped with court markings for Basketball, Netball, Volleyball, and Badminton. Showers and toilets are available in both changing rooms, including separate disabled access facilities.

A public water drinking fountain is located outside the gym complex.

GUIDELINES FOR USE

Please adhere to the following conditions:

  • Mahurangi College is a “Smoke-Free” area. Smoking and vaping are prohibited in all buildings and on the grounds (indoor and outdoor areas).

  • Suitable non-marking, soft-soled trainers must be worn - rugby/football boots and muddy footwear are not allowed.

  • Food and alcohol are not permitted in the gym complex. Water in suitable drink bottles only.

  • A responsible adult must be present at all times.

  • You will need to sign a gymnasium contract and key contract to confirm your gym booking

Upon departure

  • Turn off all lights.

  • Close and lock all fire exit doors, internal doors, and windows (including changing rooms).

  • Return all sports gear to its designated storage area.

  • Leave the gym in a clean and tidy state, removing all rubbish, including from the toilet and changing room areas.

Disclaimer for use

  • Additional charges may apply for extraordinary cleaning, removal of excess rubbish, or security call-outs after hours (as determined by Mahurangi College).

  • Mahurangi College may occasionally require the gym for school events, in which case at least 24 hours’ notice will be provided if the gyms will be unavailable.

  • Report any maintenance issues or damage promptly to the Mahurangi College Sports Department.

Mahurangi College is not liable for:

  • Loss or damage to property brought into the gym or on school grounds by the user or anyone under their control.

  • Injuries occurring to players under the user’s supervision.

SCHOOL VAN USE POLICY

AVAILABILITY & BOOKING

  • Mahurangi College has 3 school vans available for use.

  • The Sports Department/TIC manages the van bookings for sports teams. To book a van, please contact the Sports Department or TIC.

  • To ensure fair and equal access for all codes, only one sports code booking can be made per evening.

  • There is a cost for using the school vans, which will be charged to students’ school accounts.

VAN LOCATION AND KEY COLLECTION

  • The vans are located next to Z block.

  • Van keys need to be collected from the main office and signed out between the hours of 8:00 am - 4:00 pm.

  • Each vehicle has a mileage book and a folder with all relevant information required for using the vans. Please record the required information in the book.

RETURNING THE VAN

  • For after hours van return, keys need to be returned via the property garage. Photo enclosed in key pouch.The door to the right has a post slot for folder/key return.

  • Vans must be refilled with diesel upon your return.

  • Please sweep out the van at the end of the trip.

  • Remove all food, drinks and rubbish.

  • Please notify property@mahurangi.school.nz if you notice any issue with the van you are driving, no matter how small.

DRIVER REQUIREMENTS

  • Drivers must be 25 years or older and hold a full New Zealand driver’s licence or an equivalent International Licence.

  • A driver’s declaration form must be completed, and copies of the licence will be kept on file for insurance purposes.

  • Important: The van is only insured for Mahurangi College staff and approved volunteers to drive.

  • Mahurangi College reserves the right to withdraw or refuse permission to drive if a conviction for careless driving has been issued within the last seven years or if the driver is found guilty of careless or dangerous driving.

SAFETY AND REGULATIONS

  • Ensure that all passengers are wearing seat belts at all times.

  • Speed limits must be adhered to at all times.

  • Should the van be involved in an accident, the driver is responsible for ensuring an insurance claim form is completed and submitted to the Sports Department by 12:00 pm on the next working day for filing with the insurer.

  • The driver is responsible for any fines or infringements incurred during their use of the van.

SCHOOL PROCEDURE

LEAVE PASSES

Leave passes are generated through the Sports Department. If your team needs to leave school early for a sports game, you must email the Sports Department with the game time and location. All leave passes must be arranged the day before game day.

The Sports Department will then generate a leave pass for the students involved. The leave time will be calculated based on:

  • Game start time

  • Minus travel time

  • Minus an additional hour to allow for changing, warm-up, and any unforeseen circumstances

Leave passes can be collected from Student Services at interval or lunchtime. Students are expected to remain in class until the departure time stated on their pass. The pass must be shown to their teacher to ensure attendance is correctly recorded.

CANCELATIONS/DEFAULTS

  • If your team needs to default a game, you must inform the Sports Department by 11am on game day. This allows us sufficient time to contact schools, organisers, and officials. If notification is made after this time, your team may incur a charge.

  • Cancellations and defaults must be made through the Sports Office only.

  • If your team plays on a weekend, you must inform the sports department on the Friday.

SICK

  • Students who are away from college due to ill health are not allowed to participate in training or games.

  • Clear expectations should be set, including that students and parents must inform coaches and managers if the student is unwell.

MATCH COMPLAINTS

  • Any inappropriate match incidents (e.g., inappropriate behaviour, verbal/physical abuse, alcohol or drugs) should be reported to the Director of Sport/TIC within 24 hours.

  • Sideline behaviour is a serious issue; please encourage teams to report any incidents.

  • Internal incidents involving our own supporters, staff, or players should also be reported to the Director of Sport/TIC.

HEALTH & SAFETY

GUIDANCE FOR MANAGERS/COACHES IN THEIR RELATIONSHIPS WITH STUDENTS

  • Coaches/managers/staff of teams with students of a different gender should always have a supporting adult of the same gender present to assist with the group.

  • If coaches/managers/staff need to administer emergency first aid to a student of the opposite gender, they should be mindful of potential misinterpretation. It is always best to have a friend of the student present if possible.

  • Coaches/managers/staff should only enter changing rooms when students have finished changing or showering.

  • Meetings with individual team members should be held in an open space.

  • Coaches/managers/staff of the opposite gender should never enter a changing room or restroom

POLICE VETTING

  • All adults involved in school sports will be required to undergo police vetting. The vetting will be valid for three years.

  • You will need two forms of photo ID when making the application. Forms are available from the sports office or can be found on our school website. https://www.mahurangi.school.nz/parent-help

MANAGER’S ROLE

As a team manager, you play a vital role in fostering a positive, supportive environment for our students. We expect you to uphold Mahurangi College’s PRIDE values and ensure a safe, respectful experience for all participants.

  • Review and complete the managers/coaches contract.

COMMUNICATION

  • Establish a clear line of communication with your team. Mahurangi College uses Team Reach as its preferred line of communication.

  • The Sports Department will create the code for your team.

  • Regularly remind players of training times.

  • Share the game roster, including times and locations, to ensure students know where they need to be and when.

  • Arrange leave passes when required

  • Notify the Sports department if your team needs to default, If your team plays on a weekend you must inform the sports department on the Friday

TRANSPORT

  • Coordinate transportation for all away games, ensuring all drivers hold a full licence and have completed the school drivers declaration forms, vehicles must be roadworthy.

  • If you wish to enquire about the availability of a school van, contact the Sports Department.

  • Note: Van charges will be billed to each student’s school account. (Hireage, tolls & fuel need to be considered)

  • Keep parents informed of game schedules and locations so they know where their child will be and when.

HEALTH AND SAFETY

  • Familiarise yourself with the medical needs of each student, and ensure the coach is aware of any health issues that may affect players.

  • Manage any injuries on game day so that the coach can stay focused on the game. Strapping tape and braces are the responsibility of the students to bring along.

  • See if there is ice onsite or perhaps bring along weekly.

UNIFORM AND GEAR

  • Collect a team bag and first aid kit from the Sports Department before the season starts.

  • Arrange to pick up team uniforms from the Sports Department/TIC.

  • At the end of the season, gather all team equipment and school resources and return to the sports office.

  • When additional uniforms/gear is purchased Mahurangi College holds exclusive rights to the Mahurangi College logo and any associated trademarks. ANY use of the logo by a sponsor needs prior approval from Senior Leadership at Mahurangi College.

  • Bookings of the turfs and council fields are done by the Sports Department.

Additional training slots for hockey for example comes at a cost which is not factored into the fees set at the start of the year so please be mindful of this.

COACH’S ROLE

As a team coach, you play a vital role in fostering a positive, supportive environment for our students. We expect you to uphold Mahurangi College’s PRIDE values and ensure a safe, respectful experience for all participants.

PLANNING

Make it a priority to attend coaching accreditation courses throughout the year whenever possible. Reach out to your current sports code centre to inquire about the schedule and locations of these courses.

We work with Active + good sports and support the balance is

better programs.

Always keep the Fair Play Charter in mind and ensure you understand the school’s Game Time Policy relevant to the team you are coaching. For students selected in Senior Premier teams (e.g., Premier 1 Netball, 1st XI Hockey), it is important to understand that some players may have more pivotal roles, resulting in more time on the field, turf, pool, or court. The coach has the discretion to select the best team for each game to achieve the desired outcome for these Premier Teams.

  • Be aware of the guidelines for sport at Mahurangi College which is in this document.

  • Establish clear expectations at the start of the season regarding commitment to training, game time, and behaviour.

  • We recommend meeting at the start of the season with parents/caregivers to discuss the team’s expectations, ensuring that everyone is on the same page.

  • Design practice sessions that emphasise team culture, PRIDE Values, skill development, and team tactics. Develop drills and exercises targeting specific areas for improvement. We have a resource coaching app that we supply to all coaches called SportPlan. The information for registering for access to this will be sent via email.

COMMUNICATION

  • Collaborate with the team manager to establish effective communication channels.

  • Hold team meetings to discuss upcoming games, review performance expectations, and address any concerns or questions. Provide individual feedback to players to help them improve their skills and performance.

GEAR

  • Ensure that equipment is properly maintained and in good working condition.

  • Arrange collection of your team’s gear bag or required equipment from the sports department.

MAHURANGI COLLEGE VOLUNTEER AGREEMENT

I understand and agree to the following terms as a volunteer of a sports team at Mahurangi College and will sign the

separate agreement supplied.

  1. ACKNOWLEDGMENT OF GUIDLINES
    I have read and understood the Sports Handbook, particularly the Code of Conduct for Players and Coaches, and the Guidance for Coaches and Managers in their Relationships with Students.

  2. COMMITMENT TO COACHING
    I agree to coach/manage this team to the best of my ability, following the guidelines outlined by Mahurangi College.

  3. LEADING BY EXAMPLE
    I will lead this team by example, consistently displaying positive behaviours.

  4. REPORTING INCIDENTS OR ACCIDENTS
    I will report any injuries or incidents to the Sports Director and the TIC of my code as soon as possible after the completion of the game.

  5. RECRUITMENT POLICY
    I will not seek to recruit any students to attend Mahurangi College.

  6. TEAM REGISTRATION
    I will not arrange for any students to partake in a team that has not been pre-registered by the school. I will first inform the school of any potential changes.

  7. COMMUNICATION
    I will contact the TIC with any concerns or questions regarding my team or coaching responsibilities.

  8. GAME RESCHEDULING
    If I wish to rearrange a game time, I agree to contact the Sports Coordinator and TIC of my code before taking any action.

  9. NZ POLICE VETTING
    I acknowledge and agree to complete and submit a NZ Police Vetting Form to Mahurangi College before commencing any training sessions or games with students.
    The Privacy Officer and Principal will review this form for any offences that may prohibit my involvement in Mahurangi College sports or activities.

  10. CODE OF CONDUCT ADHERENCE
    I understand that failure to adhere to the Mahurangi College guidelines may result in my inability to partake as a volunteer for the school.

SPORTING ACHIEVEMENTS

If you would like to supply us team photos throughout the season, please accompany them with a short blurb, and send them through to: sport@mahurangi.school.nz.

If your team wins their sport grade please notify the sports department so this can be acknowledged in upcoming school assemblies.

PRIZE GIVINGS

  • Coaches/managers are asked to nominate award recipients for their seasonal teams. Some consult their own team of students for their input and some ask a wider group of parents to assist with decisions.

  • Coaches and managers of premier teams are asked to attend the Premier Blues Evening held at the school hall.

  • As part of this evening, teams and individuals are acknowledged for their sporting achievements within and outside of school. It is here that we will award and acknowledge our recipients of these awards and therefore they are not to be awarded at any other sport or team-specific prize giving or events.

  • Further Sports Award assemblies are held during school time to acknowledge all our other sports teams.
