Reminder of Signing-Out Procedures

In order to ensure the safety of the students in our care we need to follow our signing-out procedures. If a student is unwell and needs to go home during the school day or if they have an approved appointment, they must follow the school signing-out procedures when leaving the school grounds. 

Step 1: Students must report to the Attendance Desk area.

Step 2: Official permission from their parent/caregiver to leave the school site must be provided to the Attendance Officer via one of the following ways:

School App notification from parent/caregiver

OR

Parent/caregiver's email to absences@otagogirls.school.nz

OR

Phone message left on school absence line 1

OR

Via email forwarded from their year level dean (if the parent/caregiver has notified them directly)

OR 

Verbally over the phone if the Attendance Officer calls a parent/caregiver to verify this

Please note that Year 13 is the only year group where students are able to leave the school site at lunch-time without their caregiver's permission. They must also sign in and out on the touchscreen computer at the Attendance Desk.

Step 3: All students leaving the school site must sign out using the touchscreen computer at the Attendance Desk. They will be issued with a blue slip, showing their name, the date, purpose for leaving (unwell/appt) and the time of expected return (if appropriate). 

Students must sign in on the touchscreen computer again on their return to school.

If a parent/caregiver comes to collect a student from school due to illness or for an appointment, they must also report to the Attendance Desk and ensure the student signs out on the touchscreen computer.

Verification process: The office staff will confirm the identity of the person collecting the student. If the person is unfamiliar, or not an officially named contact/authorised person on the Student Management System (Helix), then the office staff will make contact directly with the student's parents/caregivers before deciding whether to release the student.
