10 Tips for Email Etiquette for Rotary Clubs

District Trainer, Rachel Sampson, has created a “10 Rules for Email Etiquette” one page document.

In a 2018 study, it was found that the average worker spends 6.3 hours each day sifting through and responding to emails. That’s more than 30 hours per week which adds up to 63 full days each year. You’d think all this practice would make us all experts in the art of email communication, yet many professionals are still getting it wrong. The accidental “reply all” on a private email surely happens more often than we like to admit, causing everyone to receive a private conversation.. And how many times have you received an email that is irrelevant, inappropriate or aggressive?

Unfortunately, you can’t “unsend” a poorly composed email. And once an email has landed in the recipient’s inbox, there is no way to prevent any damage it may cause, unless you go to their computer and delete it.

To avoid miscommunication and better manage our email correspondence, I have attached a document titled “10 Rules for Email Etiquette.

I would ask that this document be shared with all members. Please highlight to your members, especially your Bulletin Editor, the importance of the ‘Reply All’ rule. ”. In District 9560, we use a variety of Group Email Distribution Lists that include many email addresses. Club Bulletins are often sent to these lists. Hitting the ‘Reply All” button to discuss issues such as attendance or club discussion causes it to go to all of those in the lists.
