Courteous public image routines help create thriving clubs.

Word of mouth is the best public relations for Rotary because we know that prospective members and donors are influenced by people they know, like and trust. Your guest speakers are potentially great ambassadors for your club.

The role of Program Director in a Rotary club is vital to having members look forward to your club meetings, which in turn creates the happy buzz in your meeting room that is so welcoming for all.

Many of our most active Rotary volunteers were introduced to Rotary by being invited to be a guest speaker. Treat your speakers as honoured guests. Show respect by briefing them well, introducing them thoughtfully and thanking them warmly, verbally and in writing.

Before the meeting, the Program Director should request a brief CV, indicate that photos will be taken at the meeting and ask for permission to have these published in your club bulletin and online.

At the end of the meeting, the President should mention the speaker by name and endorse the chairperson’s vote of thanks, then add a recruiting bid.

If your club offers speakers a small gift, consider adding to that a written thank you note and a promotional brochure or annual report of your club, to deepen your guest’s understanding of Rotary.

Long term planning is key to a successful Rotary program. Inspiration can come from your club projects, district initiatives, young professionals or school students who have been sponsored by your club and club collaborations. Overall, you want a balanced program to keep all members stimulated and connected. Have you included all avenues of service?

In addition to speakers at your meetings, your annual program also needs a club forum, space for Behind the Badge presentations, an open night, vocational visits and social experiences occasionally.

Last minute changes are inevitable, so have a separate list of backup speakers, members of your club or district officials, who have agreed to speak at very short notice.

Being familiar with Rotary values and your club’s own version of the Rotary International strategic plan will give you the strength to say no to those unsolicited submissions that do not help you achieve your membership and service goals.

The role of Program Manager is a wonderful means of developing promising new members in your club and building the status of your club in your community. Choose inspiring speakers, treat them well and that will go a long way towards keeping your club vibrant and interesting.
